What is a Canned Response?
Before we dive in, let's understand what a canned response is:
A canned response is a pre-saved reply template designed to quickly respond to expected conversations. It's an efficient way to handle frequently asked questions, reducing response time and boosting team productivity.
Creating a Canned Response
- Navigate to Settings -> Canned Responses from the left sidebar.
- Click the "Add Canned Response" button on the top right corner of the page.
3. A modal will open, prompting you to fill in the details:
- Start with the shortcode, a unique, minimum two-character version of your canned response.
- Enter the content, the message you want to send when the short code is used in a chat.
4. Click "Submit" to save the canned response.
Using Canned Responses in Chats
- During a chat, agents can access canned responses by typing "/" followed by the short code.
- The short code will be highlighted, and pressing "Enter" will insert the pre-saved reply.
Modifying a Canned Response
- Open the canned response from Settings -> Canned Responses.
- Click the edit button to modify the short code or message.
- Click "Submit" to save the changes or "Cancel" to discard them.
Deleting a Canned Response
- In the canned response list, click the "Delete" button.
- Confirm the deletion in the modal by clicking "Yes, delete."
