A canned response is a pre-saved reply template designed to quickly respond to expected conversations. It's an efficient way to handle frequently asked questions, reducing response time and boosting team productivity.
Creating a Canned Response
- Access Canned Response Settings:
- Navigate to Settings -> Canned Responses from the sidebar.
- Add a New Canned Response:
- Click the "Add Canned Response" button on the top right corner of the page.
- Canned Response Modal:
- A modal will open, prompting you to fill in the details.
- Fill in the Fields:
- Start with the shortcode, a unique, minimum two-character short version of your canned response.
- Enter the content you want to send when the shortcode is used in a chat.
- Submit and Confirm:
- Click "Submit" to save the canned response.
- You'll see a success message: "Canned response added successfully."
Using Canned Responses in Chats
- During a chat, agents can access canned responses by typing "/" followed by the shortcode.
- The shortcode will be highlighted, and pressing "Enter" will insert the pre-saved reply.
Modifying a Canned Response
- Update Canned Response:
- Open the canned response list from Settings -> Canned Responses.
- Click the edit button to modify the shortcode or message.
- Click "Submit" to save changes or "Cancel" to discard them.
Deleting a Canned Response
- Delete Canned Response:
- In the canned response list, click the "Delete" button.
- Confirm the deletion in the modal by clicking "Yes, delete."
